**The role**
This is a rare and exciting opportunity for a career-driven EA who has extensive experience to provide high level executive and administrative support to the CEO.
As an experienced EA, you will be proactive and work independently to ensure the smooth running of the CEO office, which is located in Melbourne. You will have a high degree of confidentiality and maturity and be able to deftly assess and respond to stakeholders. You have high standards. You are technologically savvy and you thrive in a fast-paced, deadline driven environment.
**Key responsibilities;**
- Managing the CEO's diary, staying abreast of workflows and assist in identifying and facilitating action items
- Expertly scheduling and coordinating the CEO's meetings with a range of internal and external stakeholders
- Handle incoming requests from CEO and be able to readjust schedule and workload
- Arranging travel for CEO and other senior leaders
- Preparation of meeting packs and papers for Executive, Board, Sales or other meetings
- Provide support for the various meetings chaired by the CEO including scheduling, preparation of agendas, presentations and papers, minute taking and task management
- Effective recordkeeping and maintenance of CEO's business documentation
- Arrange and support events and activities that may include working with other staff or providers to deliver events, activities or functions
- Provide administrative support to projects or activities related to Marketing, Corporate Social Responsibility initiatives and HR
- Excellent interpersonal skills and ability to communicate effectively both verbally and in writing
- A flexible and adaptable approach with the ability to deal with changing priorities and tight/competing deadlines
- Exceptional attention to detail and strong organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly
- Demonstrated ability to work under pressure, manage multiple tasks and deliver outputs in short timeframes
- Demonstrated ability to work collaboratively and as part of a team
- Sound analytical skills and demonstrated ability to assess, evaluate and solve problems
- High level of discretion and demonstrated experience in maintaining confidentiality
- A capacity to work to analyse and chart data
- A track record (3+ years) working closely with a senior leader as an EA
- Advanced Word and Inter/Adv. Powerpoint and Inter/Adv. Excel
