About the Roles
We are expanding our leadership support team with two full-time Personal/Executive Assistant roles :
* Derrimut-based role: Supporting the General Manager & HSEQ Exec
* Ballarat-based role: Supporting the CEO & Director
You'll become the trusted go-to person for one of our senior leaders—managing schedules, streamlining communication, and keeping key initiatives moving forward.
This is not just diary management: it's an opportunity to become a key enabler of executive effectiveness, providing administrative, organisational, and coordination support in a fast-paced environment.
Key Responsibilities
* Provide executive support including diary management, meeting coordination, and email management
* Exercise the highest level of discretion and confidentiality when handling sensitive information
* Coordinate and prepare agendas, presentations, and reports for internal and external meetings
* Assist with ad-hoc projects and process improvements to increase executive efficiency
* Liaise with internal and external stakeholders on behalf of the executive team
* Manage travel arrangements, expense reporting, and other logistics
* Track actions and deadlines, ensuring follow-through on key initiatives
What We're Looking For
* We're looking for highly organised, resourceful professionals who thrive on supporting senior leaders and keeping multiple priorities on track.
* You'll bring:
* A proactive approach with the confidence to anticipate needs and take initiative
* Proven experience as a Personal Assistant, Executive Assistant, or in a similar role
* Strong discretion and professionalism in dealing with confidential information
* Excellent organisational skills and attention to detail
* High-level written and verbal communication skills
* Ability to manage competing priorities and work autonomously
