We are searching for an Operations Assistant to join the Victorian Construction Operations Team based at the Lendlease Melbourne Head Office.
This hands-on, dynamic role is for someone who thrives in a fast-paced, high-performing environment and wants to play a pivotal part in the success of our operations.
As an Operations Assistant, you'll act as a key link between project teams and head office, ensuring smooth communication, operational compliance, and alignment with Lendlease policies and procedures.
Your ability to anticipate priorities, forward-plan, and manage complex schedules will make you an indispensable part of the Victorian Operations Team and trusted "right hand" to the Head of Operations, providing critical support to their day-to-day responsibilities.
Key Responsibilities
Act as the trusted liaison between project teams and head office, facilitating clear communication and timely resolution of operational issues.
Prepare and distribute business-wide email broadcasts and announcements.
Manage and prioritise incoming communications, acting as a key contact point for internal and external stakeholders.
Support the Head of Operations and Senior Management Team (SMT) with strategic initiatives and special projects.
Complex diary management for the Head of Operations and senior leaders, including forward planning and anticipating priorities.
Coordinate and set up meetings, ensuring agendas and materials are prepared.
Organise travel arrangements and manage itineraries for senior leaders.
Expense reporting and invoice processing with accuracy and confidentiality.
Prepare high-quality presentations, trackers, and documentation for the operations team.
Assist in tracking operational performance metrics and contribute to continuous improvement initiatives.
Organise business-wide functions and events.
Interface with clients, consultants, trade partners, and other stakeholders.
Understand and provide guidance on Lendlease policies, procedures, and governance frameworks.
Maintain accurate records for audits, risk management, and compliance reporting.
About You
Strong understanding of business operations.
Excellent planning, organisational, and stakeholder management skills.
Proficiency in Microsoft Office Suite (Teams, PowerPoint, SharePoint, Outlook, Excel).
Ability to balance multiple priorities and deliver under pressure.
A proactive, collaborative mindset.
