A fantastic opportunity is now available for an experienced Personal Assistant to join our team and provide high level administrative support to the General Manager, Surgery and the Surgery Program Director for Monash Health. This role is based on site at Monash Dandenong Hospital, working Monday to Friday.
**A Day in the Life**
Working closely with two busy executives, you will provide executive support to them so that their days run smoother. All the while, working collaboratively with internal and external stakeholders, and providing efficient and effective administrative and office management to the broader Surgery, Perioperative and Procedural Services teams. Some of the key responsibilities will include:
- Demonstrating a high level of organisation, prioritisation and time management skills
- Demonstrating initiative in managing day to day issues including problem solving and extensive, complex diary management
- Providing administrative assistance to the Deputy Program Director Surgery
- Providing administrative assistance to the Director of Clinical Operations Elective Services
- Facilitating the organisation and coordination of meetings, agenda preparation, minute taking and following up actions
- Coordinating data collection and presentation as specified by the General Manager and Program Director
- Event coordination and planning including support for communication, catering and the purchasing of goods
- Creating, updating and maintaining records and files in Office 365
- Preparing executive level presentations and communication
You will work with a highly professional team in a supportive environment where you can make a real contribution to the efficient and smooth running of the Program.
- **About You**
You are an experienced executive assistant or personal assistant who demonstrates a flexible, can-do attitude and strong organisational, communication and time management skills. Your proactive approach and ability to "think on your feet" when responding to changing demands will serve you well in a dynamic environment. From time to time, you will also engage with patients in sensitive and confidential matters, so your ability to demonstrate empathy is imperative. You're an exceptional team player who builds trust readily and you are also highly IT proficient. Previous experience in a large, complex organisation is preferred although a healthcare background is not essential.
