Pallas Capital is a debt and equity fund manager specialising in the financing of Australian and New Zealand Commercial Real Estate. The business was established in direct response to the growing lack of credit in Australia's mid-range property market; a situation exacerbated by the shortage of reputable, risk-adverse, non-bank lenders.

Fortis our property development management business, has a portfolio of more than $750 million in successfully completed residential and commercial projects, with a further $560 million to be completed by the end of the year.

The Role

Due to continued growth at Pallas Capital, we are seeking an Executive Assistant to act as a trusted, highly confidential partner to the Pallas Capital Executive Team in Melbourne, providing professional, proactive, and commercially sound support. This role enables executives to effectively perform by anticipating need, managing complexity and ensuring seamless day-to-day operations within a fast-paced, high-performing environment.

Extending well beyond traditional administrative support, the role requires commercial awareness, sound judgment, strong relationship management and a high level of discretion. The Executive Assistant is a visible culture carrier – approachable, engaging and solutions focused, all while maintaining the highest standards of professionalism.

The role collaborates closely with the Office Manager, fellow Executive Assistants, and key internal and external stakeholders to deliver a consistent and seamless high-quality executive support experience.

The successful candidate will be required to work from the office five days per week.

Key Responsibilities:

Executive Support & Team Coordination

* Provide high‐level executive support to the Pallas Capital Executive Team, including complex diary and inbox management, meeting coordination and professional correspondence.
* Organise, attend and take minutes for management meetings, preparing high‐quality agendas, briefing papers, presentations and executive talking points.
* Handle highly sensitive and confidential information with discretion, sound judgment and integrity.
* Oversee the expense management process and corporate credit card reconciliation, including preparation of monthly statements.
* Provide administrative support to executives in managing their teams, including performance review coordination, expense approvals and leave administration.
* Act as the primary point of contact and trusted liaison for the Executive Team, building strong internal and external stakeholder relationships.
* Oversee the Pallas Group owned apartment used by Directors, including coordination of cleaning, dry cleaning and kitchen supplies.

Travel

* Arrange complex domestic and international travel, including flights, accommodation and detailed itineraries, in line with the Expense & Travel Policy.
* Provide executive support to Directors when travelling to Melbourne.

Event Management Support

* Support cross‐functional initiatives and work closely with Marketing to deliver approved events to a high standard and within budget.
* Coordinate event logistics, including venues, guest lists, RSVPs, dietary requirements and supplier management.
* Support the Office Manager to ensure a welcoming workplace experience and the smooth day‐to‐day operation of the Melbourne office, including meetings, catering, IT, facilities and office moves.

About You

* Tertiary qualifications in business administration and/or management (desirable but not essential).
* Demonstrated experience in executive support roles, with a minimum of 3–5 years in administrative or assistant positions.
* Strong computer literacy, including proficiency in Microsoft Office and related business systems.
* Experience within property and/or financial services environments (desirable but not essential).
* Event planning and coordination experience.
* Strong ability to prioritise competing requests, ensuring executives remain focused on high‐value activities.
* Proven capability to anticipate executive needs and proactively prepare materials and briefings ahead of deadlines.
* Exceptional discretion and professionalism in handling sensitive and confidential information.
