About the opportunity
We are seeking an experienced, proactive and motivated Legal Assistant to support a team of lawyers in our Melbourne office. This is an exciting opportunity to work for a growing team in a fast-paced, high-energy role filled with variety.
Job Description
This role requires a candidate with a mix of legal secretarial and PA skills, providing administrative support across legal matters and sophisticated personal assistant support at a senior level. We seek someone who takes initiative and can identify team needs with minimal supervision.
You will be a key member of the team, relied upon for exceptional organizational skills, process and system improvement, and confident communication with clients and senior stakeholders.
You will also be part of a friendly, collaborative team of Legal PAs, with opportunities to engage in firm-wide initiatives related to health, wellness, diversity, inclusion, and social activities.
Please note: This is a full-time role requiring 4 days in the office and 1 day WFH.
Key responsibilities include:
1. Supporting lawyers with email monitoring, diary management, travel bookings, expense processing, and troubleshooting.
2. Drafting correspondence, preparing presentation materials, and general document management.
3. Managing matter administration and practice management, ensuring timely filing of documents.
4. Onboarding clients and matters, including compliance checks and preparing engagement letters.
5. Delivering excellent client service, maintaining relationships, organizing client events, and collaborating with Business Development.
6. Assisting with billing using the firm's Aderant system, client invoicing, reporting, and processing third-party invoices and trust money.
7. Supporting client engagement activities and maintaining contact databases.
8. Mentoring junior administrative staff and assisting with overflow work and leave coverage.
Candidate profile
* 2-4 years' legal support experience.
* Experience with disputes and transactional teams, especially construction (desirable).
* Proficiency in Microsoft Office, with the ability to learn new technologies.
* Knowledge of practice management software (e.g., iTimeKeep, Aderant, Emburse) and billing processes.
* Excellent communication skills, attention to detail, and stakeholder engagement ability.
* Strong organizational and time management skills, adaptable to priorities.
* Proactive, initiative-taker, reliable team player with strong interpersonal skills.
