Selection Criteria
SC1 Building Maintenance & Minor Works: Demonstrated experience in the administration of routine building repairs and minor works in a primary school setting.
SC2 Grounds & Facilities Upkeep: Demonstrated experience related to the administration of maintaining school grounds and external facilities (gardens/ovals, paths, drainage, playgrounds, fencing, basic irrigation and waste/recycling), including seasonal tasks and presentation standards.
SC3 Preventative Maintenance & Asset Care: Demonstrated ability to implement preventative maintenance schedules, identify issues early, and appropriately escalate/coordinate licensed trades when required.
SC4 Safety, Risk & Compliance in Maintenance: Demonstrated knowledge and application of safe work practices relevant to maintenance (risk assessments, manual handling, ladder/height safety, chemical storage, SWMS/permits where applicable) and an understanding of operating safely around students consistent with Child Safe Standards.
SC5 Work Planning, Records & Contractor Coordination: Demonstrated capacity to triage and prioritise work orders, plan weekly programs, keep accurate records (service logs, contractor attendance, asset notes), source materials within guidelines, and communicate effectively with staff, visitors and trades.
Role
Essendon North Primary School is looking for a part time Facilities Administration Officer.
Work from 9:30am - 1:30pm each day.
Work two days of each of the term holidays.
Work one week of the summer (Dec/Jan) holidays.
Ideal Candidate
Experienced in facilities maintenance administration.
Positively impacts the culture of the school by engaging with all stakeholders (students, staff, families).

Responsibilities
Coordinating general maintenance and building works.
Working alongside the grounds keeper to ensure the grounds are well maintained and presented to a high standard.
Working through a schedule of regular tasks and maintenance audits systematically and in a timely manner.
Carrying out basic inspections of the school site to determine work that needs to be undertaken.
Monitoring all maintenance contracts to ensure requirements are met.
Scheduling services and adjustments as required.
Maintaining the site in accordance with Occupational Health and Safety regulations, including coordinating the OHS committee.
Operating as the school Asbestos Coordinator overseeing implementation of and compliance with the School Asbestos Management Plan (SAMP) with the Principal.
Identifying, logging and following up maintenance for the school.
Implementation of the Asset Information Management System (AIMS) and Edusafe for all maintenance and OHS related works/procedures.
Liaising with the Department of Education and VSBA as appropriate to building and grounds works.
Liaising with the DET allocated school cleaners ensuring works are completed to a high standard.
Liaising with the Principal to support any special event requirements.
Liaising with the OH&S representative to 'make safe' any immediate buildings and grounds issues.
Liaising with project managers, builders, contractors and tradespersons, while protecting the school's position and interests.
Monitoring trades and contractors to ensure they perform their respective duties in a competent and efficient manner in line with school values.
Sourcing and inducting contractors, under DET procurement guidelines.
Overseeing the school's Emergency Management Plan and SAM plans.
Being aware of and seeking assurance of compliance with government regulations and policies in relation to the role and responsibilities.
