AECOM's busy and diverse Energy team is currently looking for a part-time (3-day-week) Executive Assistant to deliver a high-quality service in providing operational support to our senior leaders and our Group Director.

We are seeking an experienced and energetic individual, with proven experience as an Executive Assistant, to deliver a high-quality service in supporting the managers and employees of our Energy team based in Melbourne.

This is a dynamic and successful team in which you will deliver a range of Administration and Executive Assistance tasks, including;
+ Supporting the team with organising client events, travel, reimbursements/expenses, catering and other administrative tasks;
+ Proactive diary and calendar management for senior staff, including meeting scheduling as well as end to end travel requirements

+ Ensuring senior staff are appropriately briefed & prepared before internal & external meetings or conferences - including preparation of required meeting packs,

+ End-to-end meeting coordination (i.e. proactive preparation of agendas, minutes, meeting rooms, facilities, catering, etc.).

+ Work with the team to assist with administrative and operational processes to assist the team achieve its goals;
+ Utilising a strong working knowledge of software/database packages, including MS Office (Excel, Word, PowerPoint, Outlook, Project) and other bespoke software;
+ Organise new starter inductions;
+ Assist with the development of reports, briefs, governance papers, project summaries and other documents, ensuring a high-quality presentation;
+ Assist the team with record keeping and archiving project files.

Preferred Qualifications (not essential)

+ Proven background operating within major or global organisations, or Federal/State Government, advantageous;
+ Prior experience in Engineering or Construction related environment is highly regarded.
