ARMA Group is seeking a highly motivated Legal Account Manager to join our Adelaide based team and play a vital role in maintaining the critical portfolios of our Local Government clients.
Responsibilities
* Maintain collaborative relationship with legal partner and identify opportunities to increase referrals to strengthen ARMA position and strategic alignment.
* Review matters in Collexus for potential legal action and provide a background to the matter.
* Coordinate with account managers and paralegals on the history of the matter.
* Request relevant documents from the client where appropriate.
* Conduct due diligence searches on customers to ascertain their capacity to pay the debt.
* Draft preliminary advice to clients with the supervision of Paralegals and / or the Legal Recoveries Manager.
* Update Statement of Claim amount once returned from legal partner ensuring all details are correct (plaintiff, defendant, amount, debtor, service address, costs and interest).
* Update judgment amounts in Collexus once returned from court ensuring all figures and parties are accurate and interest is charged accordingly.
* Ensure searches and any admin fees as well as legal costs for relevant states are charged correctly.
Core Legal Administration
* File bulk P1 Final Notices, Claims and Judgments for key clients.
* Draft affidavits and affidavits of service across all jurisdictions in Australia.
* Co-ordinate bulk affidavit requests for both South Australian and Victorian Councils.
* Prepare and review legal tracking reports and case documentation.
* File and amend Complaints, Judgment requests, Summons to Attend Oral Examination, and Warrants of Arrest.
* Manage time-sensitive court hearings, case takeovers and ensure the accuracy of legal documents.
* Review legal documents (with a focus on Victorian council work) to ensure accuracy and compliance.
Client & Contractor Management
* Act as Account Manager for Allstate Interstate (ASI) managing and nurturing client relationships.
* Manage and nurture agent / external contractor relationships.
* Handle ad-hoc client requests promptly and professionally.
* Track ASI month-to-month revenue and support the team in achieving revenue targets.
* Manage incoming remittance advices and resolve client accounting queries.
* Reconcile and audit ASI end-of-month client statements.
Council & Legal Firm Liaison
* Manage all incoming and outgoing emails to the general South Australian Council inbox.
* File management for council-related matters.
* Process South Australian and Victorian Council payment reports including those referred by Scott Lawyers.
* Co-ordinate and file bulk SA Local Government Council claims and organise agent service.
* Assist with SA Water overflow work (bulk Final Notices and Claims).
Oakbridge Lawyers Responsibilities
* Monitor and manage the general Oakbridge Lawyers inbox and action client requests.
* Co-ordinate all Victorian Council legal work including filing affidavits and enforcement processes.
* Support broader legal administration for Oakbridge clients as required.
Team Support & Training
* Serve as a go-to staff member for onboarding and training of new employees on administrative and legal processes.
* Assist colleagues across teams with overflow administrative or legal support tasks.
* Contribute to a collaborative high-performance team culture.
Quality and Data Security
* Conform to requirements of ARMAs Quality & Information Security Management System including privacy and confidentiality requirements.
* Participate in internal and external audit of the Quality Management System.
Requirements
* Previous experience in a legal administration or legal secretary role essential.
* Must have 1-2 years Local Government experience.
* Experience in debt recovery council work or high-volume litigation preferred.
* Knowledge of court filing procedures across multiple jurisdictions advantageous.
* Strong organisational skills and ability to manage high-volume document processing.
* Excellent written and verbal communication with a high level of accuracy and attention to detail.
* Ability to work under pressure and manage competing priorities.
* Strong client service and relationship management skills.
* Proficiency in legal software, Microsoft Office Suite and court e‑filing systems.
* Ability to work independently and as part of a team with initiative and problem‑solving capability.
