The Opportunity
We are seeking a Office Manager to play a pivotal role in supporting Changify’s continued growth and operational excellence. This role is ideal for someone who thrives on keeping things running smoothly — connecting the dots between finance, people, systems, and delivery.
You’ll work closely with our Directors and consulting team to ensure projects, proposals, and operations flow efficiently — helping us maintain the high-quality, agile, and trusted experience our clients value. This is a hands‑on, dynamic role at the centre of a fast‑growing consulting business.
What you’ll do
Operational Management
- Ensure projects start and close smoothly — managing documentation, contracts, invoicing triggers, and reporting deadlines.
- Streamline internal systems and processes to improve efficiency (e.g. new client, project, and staff onboarding).
- Monitor adherence to company policies, including data security, privacy, and independent contractor compliance.
- Prepare and monitor budgets, forecasts, and profitability by project, client, or service line.
- Manage billing schedules, reconcile timesheets and contractor invoices, and track payments.
- Maintain up-to-date consulting rate cards, oversee contract renewals, and support proposal costings.
- Provide Directors with regular updates on utilisation, billable hours, and revenue targets.
Business Development Support
- Coordinate proposals, tenders, and RFQs — managing templates, inputs, and quality control.
- Maintain the sales pipeline and forecast new business opportunities.
- Prepare client and market briefings to support strategic decision‑making.
- Oversee website updates, newsletters, and credentials packs.
People & Culture
- Coordinate onboarding, induction materials, and training records.
- Manage timesheets, leave, and payroll coordination.
- Organise team days, knowledge‑sharing sessions, and internal communications.
- Maintain employee and contractor records, including contract renewals and compliance documentation.
Systems, Tools & Governance
- Oversee key business systems including Microsoft 365, Xero, Employment Hero, and ProjectWorks.
- Support staff with user access and system queries.
- Identify trends and opportunities to improve operational efficiency and margin performance.
What you’ll bring
- A strong background in operations, finance, or project management within a qualified services or consulting environment.
- Excellent organisational, analytical, and communication skills.
- A proactive mindset — you see what needs to be done and make it happen.
- Comfort working in a fast‑paced, agile, and collaborative environment.
- The ability to be the “glue” that holds the consulting business together — enabling consultants to focus on delivery.
- Bachelor degree in business management or similar study highly regarded.

Compensation
This role is available as a full‑time fixed‑term contract for a period of 12 months.
Remuneration will be commensurate with experience and market benchmarks.
