In this 12 month maternity leave contract as the Personal Assistant you will provide a high level of professional administrative support to the Chief Operating Officer & the Commercial Director for Health Services.
We are looking for someone with a proactive person "can do" attitude & has a desire to take on new projects and acquire new skills.
Responsibilities
Provide high level business administrative support to the Directors of APAC Health Services Leadership Team by understanding the business and supporting the delivery of key priorities and deliverables.
Extensive calendar management including coordinating meetings, preparing background information, pre-read material, agendas and recording of action items.
Act as a point of contact for internal and external parties where appropriate, including prioritising and distributing emails, correspondence and mail.
Prepare presentations, written reports, spreadsheets, documents, quality assess reports and prepare ad hoc reports as required.
Provide timely and accurate preparation of tactical administrative support activities for the Director and their team.
Event management – supporting team events including catering, venue bookings and logistics.
Recruitment management – onboarding/offboarding of all new starters within the Health Services team.
Organising travel arrangement & expenses.
When capacity permits and agreed by the Director, provide a shared service arrangement of personal assistance to other Health Services Leaders and Teams ensuring efficient ways of working and engaging, establishing an operating rhythm that meets Management and establishing a brand presence with internal and external stakeholders.

What do I need?
3+ years providing personal assistant support at a senior manager
Proven ability to meet strict deadlines in an organised manner
Proven problem identification and resolution skills
Professional presence, presentation and interpersonal skills, including the ability to build rapport and trust and work with, and across team environments
Experience in utilising judgment, confidentiality and discretion at a senior support level
Strong stakeholder management, with the ability to engage with Executives and Business Leaders, and all people throughout the organisation to achieve shared outcomes
Ability to use initiative and drive when managing multiple business support priorities
Demonstrable attention to detail and follow-up to ensure accuracy and timeliness of work
Microsoft Outlook (Advanced), and Microsoft Word, Microsoft Excel, Microsoft PowerPoint (Intermediate)
Accurate word processing skills with attention to detail
