In this 12-month contract position, the Executive Assistant / Consulting Coordinator in our Advisory solution is responsible for providing project coordination and administrative support to 3 Partners.
In summary, the role provides project co-ordination and management of all opportunities and engagements being executed by our consultants and on-going business development projects, including monitoring the process, assuring completion of internal and external documentation.
Key Responsibilities
- Provide general administrative support to the Partners, including email/inbox and diary management, travel, expenses, correspondence, and other duties as required.
- General "Go to" person for all queries to ensure smooth operations across Practice.
- Maintain calendars including internal and client meetings and calls involving multiple time zones, ensuring IT equipment is set-up and coordinate supplies and catering.
- Compile, prepare, edit, format and proof various high quality, professional deliverables, including responses to requests for proposals, reports, presentations, general correspondence and business documents
- Manage small projects for the Partner
- Work closely with the Project Management Office team to provide support on large/complex engagements as required.
- Collect, assemble and summarise statistics and information, analyse trends, data and information from a variety of sources within prescribed guidelines and procedures.
- Maintain up-to-date records in Salesforce for executives, companies, engagements, and business development
Professional Experience / Qualifications
- High degree of professionalism and competence
- Able to maintain confidentiality and discretion at all times.
- Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
- Superior organisational ability to juggle multiple tasks and conflicting demands.
- Excellent verbal and written communication skills
- Meticulous attention to detail with strong proficiency in proofing documents, proposals, and reports
- Experience liaising with senior executives in a professional, courteous and efficient manner.
- Ability to relate to others in a positive and helpful manner and build credibility and positive relationships with all the firm’s key constituencies.
- Self-motivated, energetic, tenacious with a “can-do” attitude, willingness to accept new challenges, find out-of-the-box solutions and able to work without direct supervision.
- Project coordination and/or sales support skills preferred.
- Minimum of three years of relevant work experience as an Executive Assistant supporting leaders and senior professionals, or relevant work experience in Project Coordination or Sales Support
- Previous experience in a skilled services environment preferred.
