Office Manager – Harcourts Home & Acreage – Five Ways VIC
As our Office Manager, you will be the backbone of our operations, ensuring our team has the structure, resources, and support needed to deliver exceptional service to clients across the Harcourts Home & Acreage market.
You will oversee administrative functions, coordinate staff, support HR processes, and ensure office systems run seamlessly.
This role suits someone proactive, organised, confident in decision-making, and comfortable interacting with clients, sales agents, property managers, and external partners.
Key Responsibilities
Provide executive-level assistance to Directors, including preparing correspondence, presentations, reports, and managing meeting coordination.
Refine and enhance office procedures to support efficient operations and uphold Harcourts' exceptional client service standards.
Coordinate team schedules, workspace allocation, office resources, and daily workflow.
Delegate tasks, oversee outcomes, and support a productive, collaborative team environment.
Manage office documentation, property files, and financial records with accuracy and confidentiality.
Produce high-quality marketing collateral using Adobe InDesign, including IMs, brochures, signage, and EDMs.
Administer the Vault CRM system, maintain database accuracy, and coordinate EDM campaigns.
Prepare REIV authorities, marketing submissions, and advertising schedules.
Process sales accounts, commission payments, and supplier invoices using Xero.
Liaise with internal teams, clients, property managers, and external partners to ensure seamless daily operations.
Oversee office supplies, technology, equipment, and service providers.
Support workplace safety and ensure compliance with legal, industry, and company policies.
Assist with HR activities including recruitment, onboarding, training, performance support, payroll coordination, and daily staff supervision.
Identify opportunities to improve systems, enhance workflow efficiency, and contribute positively to office culture.
Provide reporting, administrative, and planning support to management as needed.
About You
Have experience in office management, preferably in a real estate or professional services environment.
Bring strong organisational and communication skills.
Thrive in a fast-paced, client-focused team.
Are confident with technology and office systems.
Take initiative and enjoy supporting others to succeed.
Demonstrate professionalism, confidentiality, and attention to detail.
Real estate experience is highly regarded but not essential for the right candidate.
