We're looking for an Operations Assistant to join our team in Port Melbourne on a permanent basis.
How You'll Make a Difference
This is a hands-on leadership role at the centre of our operations—your ability to coordinate crews, manage day-to-day schedules, and respond to operational challenges will make a real difference. You'll be the go-to for ensuring vessels are resourced, supported, and running to plan. Working alongside the Port Manager and leading the frontline, you'll help shape a safe, reliable, and high-performing operation across our VIC ports. This role is ideal for someone who is highly organised, reliable, and able to build relationships with colleagues and stakeholders alike.
Responsibilities
* Acting as the main point of contact for crew regarding operational administration and general support.
* Monitoring and maintaining compliance with crew certifications, inductions, and training requirements.
* Supporting the onboarding of new crew, including arranging PPE and verifying completion of all required inductions and documentation for site access.
* Managing site vehicle needs, including novated lease arrangements and fuel card coordination.
* Preparing and reviewing crew timesheets to support accurate and timely payroll processing.
* Scheduling and coordinating meetings, events, and site visits for operational staff and stakeholders.
* Maintaining stock levels of office supplies, stationery, and other operational support materials.
* Processing purchase orders and ensuring accurate invoice coding and tracking.
What You'll Bring
* Previous experience in administrative or operational support roles; experience in resource or crew scheduling is an advantage, as is familiarity with the maritime industry.
* Strong organisational skills with the ability to prioritise tasks, meet deadlines, and stay focused in a fast-paced environment.
* A high level of attention to detail and accuracy across all aspects of your work.
* Confidence in interpreting and following operational procedures and processes.
* A personable, approachable nature—enjoy building relationships and supporting a cohesive, collaborative team environment.
* Solid computer literacy, including experience with Microsoft Office and business systems; exposure to platforms like Workday, Sertica, or accounting programs will be highly regarded.
* The ability to handle confidential and sensitive information with discretion and professionalism.
* A proactive attitude, willingness to learn, and a commitment to contributing to a safe and efficient workplace.
