Our client is a Residential Property Developer, with international HQ, and looking for an administrator to join their team, reporting into the Office Manager.
The Office Administrator will report directly to the Office Manager and work closely with both the Office Manager and Accounts Manager. This role is pivotal in ensuring the smooth and efficient operation of the office by providing reliable administrative support across a range of functions.
Key Responsibilities
Office Administration
* Provide day-to-day support to the Office Manager in managing office operations
* Oversee reception duties, including meet & greet guests
* Manage meeting rooms and coordinate bookings
* Organise office supplies and maintain inventory
* Assist in planning and coordinating staff social events
* Support project teams with printing, binding, and document preparation
* Liaise with the IT team regarding maintenance and technical support
* Maintain office voicemail services
* General admin duties such as filing and maintenance of business records
* Assist with credit card reconciliation and preparation for Accounts
* Assist in travel coordination for office staff
* Monitoring news channels and distributing regular industry news updates to staff
* Creating and maintaining administrative templates for office collateral
* Assist in on-boarding of new staff
* Independent research projects
* Meeting minutes and distribution
* Assist in leveraging AI technologies into consistent office protocols.
Accounts Administration
* Perform data entry and review invoice coding in Vendor Café
* Assisting with job cost versus GL reconciliations as required
* Maintain Vendor Café records, including contractor registrations and correspondence
* Conduct ad-hoc data entry and reporting in Excel
* Support the maintenance of Yardi databases, including insurance, contracts, and data updates
* Liaise with vendors and contractors to ensure successful account creation in accounting software

Education Background
* A relevant further education course/degree is advantageous.
