What does the job look like?

Located in Mentone, the Administration Manager role is a key role who will support our high‐volume distribution centre and office, ensuring efficient site operations. We are looking for someone who brings strong administrative and finance expertise, excellent communication skills, and a commitment to continuous improvement. Hours are Monday to Friday 7am to 3pm. Key areas:

* Oversee daily operations, ensuring compliance with company, client, and regulatory standards. You will not be in operations only working with them.
* Oversee daily administrative operations, including wage tracking, billing, payment processing, and data entry.
* Prepare and present weekly KPI and financial reports to support informed decision‐making.
* Reconcile customer RCTI processes and resolve billing disputes.
* Liaise with customers and contractors via email and face‐to‐face, ensuring queries are resolved promptly.
* Support the team in financial validation, documentation, and cost recovery.
* Ensure compliance with site safety procedures and participate in safety initiatives.
* Champion Linfox values and foster positive relationships with internal and external stakeholders.
* Drive continuous improvement in administrative processes and operational efficiency.

Are you the one?

* Demonstrated experience in administration, payroll, and finance (ideally within logistics, FMCG, or related sectors).
* Proficiency in SAP, Kronos, and MS Office Suite (Excel essential; Power BI desirable).
* Strong customer service focus and relationship‐building skills.
* Excellent written and verbal communication skills.
* High attention to detail, strong organisational skills, and ability to work under pressure.
* Knowledge of OH&S legislative requirements and commitment to safety.
* Power Query for data transformation and automation.
* Pivot Tables, Power Pivot, and dashboard creation.
* Complex formulas, reconciliations, and structured data models.
* Able to manage, analyse, and interpret large data sets efficiently.
* Tertiary qualification in business, administration, or related field preferred.
* Quickly adopts new systems and proactively identifies opportunities to drive continuous process improvement.
