YOUR IMPACT
We're looking for an organised, customer-focused Administration Officer to support the delivery of Diabetes Victoria's key events and education programs. You'll be the friendly first point of contact for event attendees, help coordinate bookings and communications, support event logistics, and keep our systems and records accurate and up to date. You'll also contribute to promotion and marketing administration to help ensure our events reach the people who need them most.
Key Responsibilities:
* Supporting the administration and coordination of programs and events, including responding to enquiries and registrations
* Setting up events in webinar/event platforms, booking venues, catering, vehicles, and supporting event logistics.
* Being the first point of contact for attendees (phone and email), distributing confirmations, information and evaluation surveys.
* Updating website event pages and assisting with event promotion (email marketing coordination and basic marketing assets).
* Supporting presenters with handouts, presentations and AV requirements; responding to speaker requests from external organisations.
* Maintaining accurate participant data and assisting with finance administration (invoices, payments, paperwork).
* Travelling to and attending regional events across Victoria (including occasional overnight stays).
ABOUT YOU
You're a proactive admin professional who enjoys supporting people and making events run seamlessly. You're confident communicating with a wide range of community members, highly organised, and comfortable using databases and digital tools. You're also someone who can stay calm under pressure, juggle priorities, and take pride in getting the details right.
* Strong customer service skills and confidence communicating with people via phone and email.
* Intermediate to advanced skills in Microsoft Office (Word, Excel, PowerPoint and Outlook).
* Confidence using technology and systems such as Zoom/webinar platforms and CRM or database systems.
* Strong organisation and time management skills, with the ability to manage competing deadlines.
* Experience in office administration (events, marketing or education/health settings is desirable).
* Confidence (or willingness to build confidence) in public speaking/hosting, such as MC support at events.
* A commitment to inclusion and cultural safety, and an understanding of diverse community needs (including CALD and Aboriginal and Torres Strait Islander communities).
ESSENTIAL:
* Current Police Check
* Working with Children Check
* Valid driver's licence
DESIRABLE:
* Canva (or similar) experience
* Event registration platforms (e.g., Humanitix/Eventbrite)
* Experience in events/marketing administration.
