The Role 
The Executive Assistant provides high-level administrative and organisational support to the CEO, CFO and company directors, ensuring the effective management of their schedule, priorities, and deliverables. 
This role is responsible for coordinating meetings, travel, and communications, while preparing accurate documentation and maintaining solid stakeholder relationships. By proactively managing timelines, monitoring actions, and streamlining processes, the Executive Assistant enables the CEO, CFO and company directors to focus on strategic priorities and contributes to the overall efficiency and professionalism of the organisation. 
Key responsibilities 
- Executive Support & Administration – Provide timely and effective support across diary management, email inbox oversight, expense processing, and general administrative coordination. 
- Deliver high-level secretarial and administrative assistance to ensure the smooth operation of the CEO, CFO and Director’s busy schedule. 
- Prepare accurate and professional documentation, presentations, reports, correspondence, and email communications. 
- Meeting & Event Coordination – Organise and coordinate a variety of meetings including Board, project, and work-in-progress sessions. 
- Manage all aspects of meeting logistics such as agendas, supporting papers, catering, and technology requirements. 
- Record, monitor, and follow up on actions and outcomes to ensure timelines and deliverables are met. 
- Stakeholder & Communication Management – Act as a key liaison point between the CEO, CFO, Directors and management team and external stakeholders, ensuring effective communication and collaboration. 
- Build and maintain positive working relationships that support smooth information flow and alignment across the organisation 
- Travel & Logistics Management – Arrange comprehensive travel itineraries and accommodation for the CEO, CFO and Directors, ensuring efficiency and cost-effectiveness. 
- Coordinate related logistics, including transport, meeting locations, and on-the-ground requirements. 
- Manage all travel arrangement approvals across the organisation. 
The Successful Candidate will bring 
- 5+ years in a Personal Assistant, Executive Assistant, or Operational Support role 
- Previous experience working in a family run business, desirable 
- Managing document control processes with precision and confidentiality 
- Excellent written and verbal communication skills 
- Exceptional attention to detail and ability to manage multiple priorities 
- Proficiency in Microsoft Office Suite and intermediate excel skills 
- Able to take direction and execute tasks with a positive attitude 
- Solutions-focused mindset 
- Ability to assess situations and make sound decisions 
- Drivers license for travel between sites
