Job Description
We are seeking a reliable and proactive Office Administrator to manage essential administrative and mailroom duties 1–2 days per week. This role ensures the smooth handling of postal correspondence between our Sydney and Melbourne offices, maintains accurate client records through document scanning, and provides general office support.
* You’ll work closely with our local and overseas teams to manage physical document requirements and support our clients efficiently and professionally.
Key Responsibilities
* Mail Handling
* Coordinate redirection of mail from our Sydney PO Box to Melbourne.
* Collect and sort incoming mail and ensure timely delivery to relevant team members.
* Liaise with Australia Post or courier services to manage redirection schedules.
* Document Management
* Scan physical documents and upload them into the client management system.
* Ensure accurate digital filing and data integrity.
* Cheque Preparation
* Prepare client cheques for director’s signature.
* Maintain accurate cheque records and follow security procedures.
* Post & Supplies
* Prepare and send weekly outgoing mail.
* Purchase stamps, envelopes, and maintain mailing supplies.
* Replenish printer ink and paper as required.
* Team Support
* Liaise with overseas team members to coordinate post handling requirements.
* Communicate clearly and efficiently to resolve document-related tasks.
