**Job Description**:
AECOM is a global provider of professional technical and management support services to a broad range of markets, including transportation, facilities, construction, environmental and energy. With over 56,000 employees around the world, AECOM is a leader in all of the key markets that it serves.
Our busy Civil Infrastructure group are currently looking for an experienced Document Controller to join the Melbourne team.
The Document Controller will be responsible for the daily operations, document control and administration of the various projects. This is a client facing role which requires exceptional task management and communication skills.
You will proactively support Project Managers (PM) with the implementation of the Project Delivery Systems on projects with particular focus on:
+ Project Planning
+ Project Execution
+ Project Closure
+ QA checking of all documentation for correct numbering, revision control, status, format, title and legibility.
+ Maintain document control systems and folder structures, including document registers.
+ Maintain original documents/drawings and check print files and keeping all superseded revisions.
+ Ensure controlled documents are transmitted in accordance with project specific procedures.
+ Receive, track and issue vendor design documentation.
+ Responsibility for expediting the flow of internal review documentation.
+ Assisting with preparation (including formatting) of weekly/monthly project reports, reports, meeting minutes, deliverables.
+ Assist PM's and Project Directors when preparing for an internal or external audit.
+ Organise regular meetings, set up teleconference and video conferences as needed from time to time.
+ Liaising with client counterpart - e.g. Document Controller, Project Administrator, Administration Team members.
+ Encourage safe practise within project team.
+ Provide administrative support to the project team.
This role can be a hybrid of office and work from home, dependent on project needs.
**Qualifications**:
You will be highly motivated and enthusiastic - eager to learn and take on new tasks. Your patience, ability to collaborate and supportive co-ordination skills will be key in this position.
**Ideally, you will have**:
+ A professional attitude and high level of attention to detail
+ Ability to take ownership and responsibility of your tasks and work
+ Advanced in MS Office suite including Word, PowerPoint, Outlook and Visio.
+ Competent level in MS Excel.
+ Excellent client service (both internal and external).
+ Excellent written and verbal communication skills, including the ability to liaise and consult with staff at all levels within the organisation and a range of external clients.
+ Effective time management and excellent organisational skills with the ability to prioritise tasks.
+ Knowledge of document control software preferable but can also be learnt on the job (Aconex, TeamBinder, Incite, ProjectWise, Blueb
