About the role As Assistant Company Secretary, you will provide support in managing the day to-day Company Secretariat functions of the John Holland Group. You will have exposure to a variety of matters across our business, have interaction with senior executive and board level stakeholders, and be hands-on in applying your skills to ensure the smooth and comprehensive management of the function. You will be autonomous, detail oriented, naturally curious and demonstrate initiative in seeking and filtering information. You will have the opportunity to work alongside and support two Company Secretaries with extensive experience, so this could be an excellent launchpad to accelerate your career. This role can be either Full-Time (5 days per week) or Part-Time (4 days per week), depending on the preference of the successful candidate. What you will do: Ensure all regulatory filings are prepared and lodged on a timely basis Maintain all statutory records for Group companies, trusts and JVs Coordinate the execution of all corporate documents End-to-end management of an active subsidiary Board, including meeting agendas, papers, minutes and action items Assist the Company Secretaries with Board and Committee meetings as required Maintain various compliance registers and reports Provide administrative support as required What we're looking for: Prior experience providing company secretariat services (or similar) Confident, polished and articulate communication with executive-level stakeholders Meticulous attention to detail and ability to treat sensitive information with a high level of confidentiality Ability to balance tight timeframes with competing demands Exceptional organisational skills Proficient computer skills and advanced knowledge of MS Office Familiarity with Diligent Boards and ASIC Connect preferred As part of the team, you can help us transform lives.
