Executive Assistant to CEO – Holroyd / BMPRO

Location: Bayswater, VIC

Full-Time | Onsite | Agile Growth Environment

We're now seeking a confident and highly organised Executive Assistant to partner with our CEO and leadership team as we continue our expansion journey.

The Role

As Executive Assistant to the CEO, you'll play a pivotal role in enabling the success of a dynamic leadership team. You'll be the central hub connecting multiple departments — helping to coordinate projects, streamline communication, and ensure the business runs smoothly.

Key Responsibilities

1. Executive Support & Coordination

- Manage and prioritise the CEO's calendar, emails, and commitments with a proactive and forward-thinking approach.
- Prepare and coordinate executive correspondence, presentations, and reports.
- Research and compile information for meetings, projects, and business initiatives.
- Support effective communication flow between the CEO and internal/external stakeholders.

2. Cross-Team Collaboration

- Act as the central connection between the CEO and key departments — Marketing, Sales, Product Development, Operations, and Finance.
- Facilitate communication, follow-ups, and project milestones to ensure teams remain aligned.
- Support internal meetings, track action items, and help drive accountability.

3. Business & Project Support

- Assist in strategic and operational projects across the organisation.
- Coordinate supplier and partner communications (both international and local).
- Prepare briefing papers, summaries, and dashboards for executive decision-making.
- Liaise professionally with external stakeholders, customers, and suppliers.

4. Marketing & Sales Assistance

- Collaborate with Marketing and Product teams on campaigns, launches, and events.
- Drive marketing requirements and initiatives across multiple media platforms.
- Support the national sales team through improved systems, technology, and creative drive.

5. Travel & Event Management

- Coordinate complex domestic and international travel arrangements.
- Prepare itineraries, agendas, and manage expense reporting.
- Organise internal events, offsites, and staff functions.

6. Product & Supply Chain Support

- Support our product-based business by understanding the product lifecycle from concept to market launch.
- Assist in sourcing new products and components, including communication with international suppliers.
- Work closely with Product and Operations teams to manage timelines, costs, and quality.
- Coordinate product release plans and related marketing or sales initiatives.

About You

You're a natural organiser, problem-solver, and communicator who thrives on keeping things moving. You're comfortable juggling priorities and working closely with a driven leadership team that values initiative and accountability.

Key attributes:

- Experience supporting a CEO or senior executive in a fast-paced, growing organisation.
- Excellent interpersonal and communication skills across multiple departments.
- High attention to detail, time management, and confidentiality.
- Proficiency in Microsoft 365, Teams, and CRM systems (e.g., HubSpot).
- Ability to manage multiple projects and adapt quickly.
- A self-starter with a positive, can-do attitude.
