The Medical Secretary/Personal Assistant undertakes administrative duties in support of the Surgeons PAs and nurses
**Position Overview**
The Medical Secretary/Personal Assistant undertakes administrative duties in support of the Surgeons PAs and nurses ensuring the efficient and effective work flow. Promoting a positive image to patients, supporting the collective goals of the practice, and meets the exciting challenges and opportunities presented by continued growth in a progressive and contemporary medical environment.
Reporting directly to the Practice Manager and supporting the practitioners and PAs. The position is responsible for delivering high quality administrative outcomes.
**Primary Responsibilities**
- Diary management
- Coordinate and ensure smooth running of consulting sessions.
- Send out appointment reminders (letters, phone calls and/or SMS) for the nurses & patients, 5 days prior to appointments
- Meeting and greeting patients
- Booking patient consultations and following up any required diagnostic imaging/pathology services
- Taking and recording payments
- Maintaining patient resources/handouts
- Timely and accurate handling of patient enquiries and urgently tasking nurses for items due that business day
- Manage patient records and update existing patient information
- Import documents/reports/results/referrals into patients' files if needed
- Monitoring in-tray correspondence for review
- Prioritising effective movement of recalls to the automated Active Campaign system, including communication consent and adding patients to AC and documenting on file.
- Maintaining COVID safe procedures
- Use of Genie Medical Software favourable but not a prerequisite
- 2 years Medical Reception experience required
