Executive Assistant

Primary Objective
This is a pivotal position providing executive-level administrative and secretarial support to the Branch Director, as well as facilitating communication with senior leaders, government representatives, and external stakeholders.
The Executive Assistant will manage a diverse range of responsibilities including complex diary and travel management, coordination of Board and Sub-Committee meetings, minute-taking, preparation of high-level correspondence, and project-related research. The role demands exceptional discretion, professionalism, and the ability to manage competing priorities in a fast-paced environment.
Key Responsibilities and Accountabilities
* Provide proactive diary management, prioritisation, and organisation of meetings with internal and external stakeholders.
* Act as the first point of contact for colleagues, senior executives, and external stakeholders, managing calls and correspondence with professionalism.
* Deliver comprehensive administrative support including records management, preparation of reports, and drafting of documents.
* Manage all incoming correspondence and emails, directing as appropriate and ensuring timely follow-up.
* Provide high-level support to the Board and Sub-Committees, including meeting coordination, agenda preparation, document collation, and accurate minute-taking.
* Draft, review, and edit correspondence, briefings, presentations, and reports to an executive standard.
* Coordinate conferences, business travel, and accommodation arrangements.
* Organise internal and external meetings and events, including attendance, logistics, catering, and distribution of materials.

Experience and Qualifications
* Minimum 7–10 years' experience as an Executive Assistant supporting CEOs and C-suite executives in complex, fast-paced environments.
* Demonstrated experience providing Board and Sub-Committee support, including preparation of agendas, collation of papers, and accurate minute-taking.
* Proven ability to operate with high levels of discretion, judgement, and professionalism.
* Advanced skills in MS Office Suite and confidence with digital communication tools.
* Strong ability to manage workload, resolve conflicts, and deliver to deadlines.
* A proactive problem-solver with sound decision-making skills.
