About The Role
As a result of an internal promotion, we are now recruiting a Senior Executive Assistant to support our new Office Managing Partner (OMP). This is an exciting opportunity and doesn't come around often for us due to strong retention in the team.
This role forms a critical part of the Melbourne Leadership Team and assists the OMP to deliver key initiatives that support the business, including the roll out and delivery of the Melbourne office strategic initiatives.
Key Duties And Responsibilities
- Provide full executive support to the OMP including diary management, task list management, timesheets and expense processing
- Represent the OMP and manage the delivery of projects and initiatives for the Melbourne office in relation to strategy delivery, policy implementation or process improvement
- Preparation, drafting, collation of reports, board papers, presentations and office-wide communications on behalf of the OMP
- Responsible for the scheduling and agenda formation for recurring Executive, Partner meetings and Leadership offsites
- Act as a liaison between the executive team and employees, relaying key messages and updates
- Work closely with other Shared Services Leaders to identify areas for improvement and facilitate communication between these key stakeholders and the OMP
- Support the OMP and People & Culture representative in Partner related matters including on-boarding, off-boarding and performance review processes
- Work with the Events Coordinator and Internal Conferences Manager to deliver various events, office-wide functions and local conferences
People Leadership
- Participate in relative recruitment campaigns and onboarding as required
- Provide leadership, coaching, and oversight for the EA/PA group to foster engagement and ensure business needs are met
- Serve as the main contact for EA/PA issues, resolving them efficiently and professionally
- People manager responsibilities to three Facilities team members
About You
The expectation is that this person will represent the OMP on a number of levels within the Firm and work closely with them on all operational aspects of the Firm, including IT, Clients & Markets, People & Culture, Facilities and Partner matters. Natur ally this will require someone with a strong ability to build and maintain internal relationships with key stakeholders, namely the Executive Leadership Team, the Shared Services Leaders and the Partner group.
Our Successful Candidate Will Have
- A strong background as a Senior Executive Assistant within a professional environment, actively supporting a leadership team and/or senior levels of management
- An ability to build and maintain effective working relationships with stakeholders
- Well-developed communication, influencing and interpersonal skills
- Proficient IT skills and advanced knowledge of the Microsoft Office suite
- An eye for detail with a high degree of accuracy
- A professional approach to work, maintaining total discretion and confidentiality
- Strong critical thinking ability to consider opportunities for prioritisation
- Experience developing and implementing strategies aligned with business objectives
- Demonstrated leadership and people management skills
