The Opportunity
We're looking for an outstanding Executive Assistant to partner directly with our Chief Executive.
This role sits at the center of our growing business, supporting the leader driving our vision forward.
You'll be responsible for maximising the CEO's effectiveness by managing their time, priorities, and communications with precision.
Your role is to anticipate needs, remove obstacles, and ensure they're prepared and focused on high-impact work.
You'll handle both professional and personal matters, acting as a trusted gatekeeper who protects their time and energy.
This goes beyond traditional administration; you'll be a strategic partner and proactive problem-solver who keeps things running seamlessly behind the scenes.
What You'll Be Doing
Executive Support & Communication Management
Manage email and calendar with precision, ensuring only essential matters reach the CEO
Prepare the CEO for each day with all required materials and briefings
Coordinate meetings, prepare agendas, briefing notes, and manage follow-up actions
Attend client meetings as required to take notes and manage actions
Office & Operational Administration
Handle office administration including document management, data entry, and filing
Prepare board packs and executive documentation
Support operational work that flows into the CEO's secondary business
Travel between North Western Suburbs and Southbank sites to support operations
Travel, Meetings & Event Coordination
Coordinate all travel arrangements including detailed itineraries and logistics
Ensure the CEO is fully briefed and prepared for all meetings, events, and commitments
Personal Support to the CEO
Assist with personal tasks including ordering items, arranging purchases, and collections
Coordinate daily personal requirements and lifestyle logistics
Demonstrate flexibility to adjust working hours to support key activities or deadlines
What We're Looking For
Essential
Highly organised with exceptional time-management skills
Experience working with boards of directors
Experience with AI tools and technology
Outstanding written and verbal communication skills
Ability to prioritise and filter information effectively with sound judgement
Professional discretion and absolute confidentiality
Proactive, resourceful, and highly adaptable to changing priorities
Strong relationship-building skills with staff, clients, and stakeholders
Ability to work independently and make sound decisions under pressure
Meticulous attention to detail
Calm, composed demeanour in fast-moving situations
Highly Desirable
Previous experience supporting C-suite executives in a dynamic, growth-focused business
Comfort operating in an entrepreneurial, fast-paced environment
Natural problem-solver who anticipates needs before they arise
