About you

You’ll bring exceptional organisational skills, sound judgement, and the ability to manage competing priorities with confidence. A high level of discretion and confidentiality is essential, along with strong written communication skills, including drafting emails, briefings and meeting notes. You’ll be confident and professional in your approach to stakeholder engagement, tech-savvy across Microsoft Office Suites (and comfortable learning new systems), and calm, adaptable and solutions-focused in a fast-moving environment.


About the role

This is a trusted, hands-on role where you’ll manage priorities, keep things organised, and ensure day-to-day business and occasional personal commitments run smoothly. You’ll need to be practical, proactive and comfortable working in a fast-moving environment.
If you’re calm under pressure, highly organised, and confident dealing with senior stakeholders with professionalism and discretion, this is a great opportunity to play a key role in supporting a busy executive and making a real difference.


Key responsibilities

* End-to-end diary management, scheduling and priority coordination (including gatekeeping and workflow protection)
* Inbox and correspondence management: triage, draft responses, follow-ups and action tracking
* Prepare briefing notes, agendas, meeting packs, minutes and action registers
* Coordinate domestic/international travel: itineraries, accommodation, logistics and contingencies
* Stakeholder liaison (internal execs and external partners such as accountants, lawyers, suppliers)
* Support the Chairman’s operating rhythm: weekly priorities, key deadlines, and follow-through
* Document control, contact management, confidential file management and reporting support
* Personal support as required (appointments, events, travel, personal admin)


Financial & delegated authority (within agreed limits)

* Coordinate travel and business administration costs within approved budgets
* Manage expense processing and invoice workflows, ensuring receipts/documentation are complete
* Liaise with suppliers and service providers and arrange bookings within delegated limits (final limits set upon appointment)
