QANTM Intellectual Property Law Pty Ltd owns leading intellectual property services businesses in Australia, New Zealand, Singapore, Malaysia and Hong Kong.
Reporting directly to the Joint Company Secretary and Governance Manager to the Chief Executive Officer, the position provides high-level confidential support to the Group Executive team. Working within a complex corporate structure, the role supports Board processes and contributes to the effective teamwork, decision making and the constructive culture of the Group Executive Team.
About the role
* Maintain and coordinate an effective calendar, on behalf of the Chief Executive Officer and Chief Operations Officer.
* Plan and manage events including meetings, off-site planning sessions and Board strategy workshops.
* Manage business schedules and calendars, travel arrangements, expenses and meetings (hybrid, virtual and in-person).
* Maintain a high level of awareness of matters coming into and out of the Joint Company Secretary and Governance Manager and Chief Executive Officer's office, to effectively respond to enquiries and exercise sound judgement on the manner of response.
* Act as a key point of contact for internal and external stakeholders and foster collaborative working relationships.
* Involvement with management of Board processes and preparation of Board reports.
* Support the Joint Company Secretary and Governance Manager and Chief Executive Officer with the preparation of meeting materials, internal documents and other administrative tasks as directed.
About you
* You bring a minimum two years' experience supporting C-suite executives, or similar level in a professional services environment.
* Have a high attention to detail while working in a fast-paced and dynamic environment.
* Demonstrated ability to maintain discretion, confidentiality, judgement and diplomacy in responding to and communicating with key stakeholders, managing sensitive issues and information.
* Demonstrated time management, planning and organisational skills with the ability to prioritise and adapt to changing schedules and priorities.
* Excellent written and verbal communication skills.
* Strong stakeholder management skills.
* University qualification (Bachelors' Degree) is required
* This is an onsite role initially and hybrid is available after the first few months.
