The Opportunity
This is a senior operational role that sits at the centre of the practice.
You will oversee the firm's administrative, compliance and workflow systems, provide direct support to the Partners, manage client communication flow, and play a key role in ensuring our clients feel consistently supported and valued.
This role combines administrative management, compliance coordination, executive support and client relationship management.

Key Responsibilities
Practice Operations & Compliance
Oversee daily administrative operations of the firm
Manage BAS and ASIC compliance programs
Coordinate ATO payment plans, deferrals and registrations
Process ABR, ATO and WorkCover registrations
Manage new entity set‐ups
Monitor and track all compliance deadlines
Ensure accuracy and integrity of practice management systems
Accounting & Executive Support
Triage and manage client communications (email, phone, SMS)
Manage scheduling and calendar coordination
Review and coordinate approval of selected outbound communications
Act as gatekeeper between clients and managers.
Support oversight of compliance and workflow programs
Assist with meeting notes/Action items.
Client Communication & Relationship Management
Manage inbound client enquiries end-to-end
Manage client onboarding and offboarding processes
Proactively follow up outstanding client documentation and information
Identify emerging client needs and elevate opportunities
Maintain accurate client records and system notes
Workflow & Systems Management
Assist with invoicing and billing workflows
Support debtor management and collections
Improve internal processes and drive operational efficiencies
Maintain and update Standard Operating Procedures
Assist with invoicing and WIP monitoring
Process internal administrative payroll for approval
Support staff onboarding and internal coordination
Key Performance Indicators
Compliance deadlines consistently met
Reduction in Managers administrative and non‐chargeable workload
Workflow accuracy and minimal job slippage
Debtor days maintained within the target
Completion of scheduled proactive client focus check‐in calls
Strong client satisfaction and relationship retention
Continuous improvement of internal processes
About You
You are highly organised, proactive and take genuine pride in running an efficient, well‐structured practice environment.
You enjoy supporting leadership while also taking ownership of systems and client communication. You are warm and personable, yet structured and process‐driven.
3+ years' experience in an accounting firm administration or practice management role
Strong understanding of ATO, ASIC and ABR processes
Experience using practice management software (Karbon, XPM, FYI or similar)
Strong workflow and time management capability
Excellent written and verbal communication skills
