Medical Secretary

This is a unique opportunity to work in a dynamic and supportive environment, utilizing your administrative skills to deliver exceptional customer service. You will be responsible for managing front desk operations, answering phone calls, managing referrals and appointments, maintaining accurate patient records, and preparing clinician schedules.


About the Role

* You will be working in a busy medical consulting suite, supporting patients and clinicians alike.
* You will be required to maintain confidentiality and handle sensitive information with discretion.


Key Responsibilities

* Deliver exceptional customer service with professionalism and attention to detail
* Manage the front desk operations including patient check-ins and payment processing
* Answer and direct phone calls with professional telephone etiquette
* Manage referrals and book appointments
* Maintain accurate and confidential patient records
* Prepare clinician schedules and coordinate daily communications (emails, faxes, messages)
* Liaise with internal departments and external healthcare providers
* Identify opportunities to streamline workflow and improve clinic efficiency
* Provide general reception and administrative support as required
* Contribute to a positive and inclusive team culture.


Requirements

* Previous experience in medical reception or administration (mental health or specialist setting highly regarded)
* Excellent time management and multitasking abilities
* Intermediate computer literacy and a willingness to learn new systems
* Knowledge of Medicare and billing processes.
* A confident, calm phone manner and strong interpersonal skills.
* A proactive mindset with a commitment to continuous improvement
* Fluent in Mandarin (Highly desirable but not essential)
