Offer description

We are seeking an experienced Personal Assistant / Business Support Officer to provide high-level administrative, documentation and compliance support to the Director of our engineering and fabrication business.

This is a hands-on, structured role suited to someone who enjoys documentation, procedures, ISO systems and business support.

Key Responsibilities

Executive & Business Support

* Personal Assistant support to the Director
* Calendar, meeting and priority management
* Microsoft Teams meetings, minutes and action tracking
* Document preparation, reporting and formatting
* Digital and physical file management

HR Documentation Support (Admin Only)

* Assist with HR policies, procedures and templates
* Prepare induction and employment documentation
* Maintain HR records, training and licence registers
* Update forms and documentation as required

(No HR advisory or staff management duties)

Procurement & Inventory Administration

* Obtain supplier quotes and order confirmations
* Track purchases, deliveries and documentation
* Maintain part numbers, descriptions and stock records in ABM
* Update procurement and inventory registers

ISO & Compliance Support

Support documentation for:

* ISO 9001 (Quality)
* ISO Environmental)
* ISO OHS)

Including:

* Procedure and manual updates
* Document control and registers
* Audit preparation support
* Risk, corrective action and training records

Tenders & Compliance Documentation

* Assist with RFQs and tender submissions
* Compile capability statements and compliance packs
* Maintain tender schedules and deadlines
* Proofreading and document formatting

General Office Support

* Office supplies, PPE and consumables management
* Shared document and register maintenance
* General administrative support across office and workshop

About You

* Highly organised with strong attention to detail
* Confident working independently
* Professional, discreet and trustworthy
* Strong written and verbal communication skills
* Comfortable learning systems and procedures
* Proficient with Microsoft Office and Teams

Experience (Preferred)

* PA, Executive Assistant or Business Support experience
* Administration within engineering, manufacturing or construction
* Exposure to ISO, quality or compliance systems
* Document control or procedure writing
* Procurement or inventory administration
