About the Position
Ambulance Victoria is currently seeking a suitably experienced Executive Assistant to provide a high level of support to the Executive Director, People and Culture.
A key member of the People and Culture team, this position will be integral to the provision of a range of efficient, timely and confidential administrative and executive support services to the Executive Director and will be required to act as the first point of contact for all enquiries, mail, and requests for the Executive Director.
With accountability on the management of day-to-day administration and coordination activities, this position will be critical to
- All aspects of diary management and associated arrangements, scheduling, and bookings (i.e. meetings, travel, accommodation, events) whilst proactively anticipating the requirements of the Executive Director
- Reviewing and preparing of correspondence, reports, and briefs to ensure all information is collated and disseminated as required in a timely and accurate manner
- Contributing to a safe, lawful, and respectful workplace culture through the modelling of ethical and positive behaviours consistent with the AV values
About you
Suited to motivated self-starter who enjoys a varied and dynamic environment, the successful applicant will possess
- Strong communication skills with an ability to build and maintain relationships and influence, negotiate, and generate buy-in with a range of stakeholders, both internal and external
- Effective written communication skills with the ability to write in an accurate, clear, and concise manner.
- Extensive experience in Senior Administration, Coordination or Executive Assistant positions, providing support at the senior level, preferably in larger, complex organisations
- Demonstrated success in effective planning, organising and time management and meeting objectives and set timeframes
This position is graded at the AV3 level under the Ambulance Victoria (Management and Administrative Staff Enterprise Agreement 2021).
This position will be a permanent full-time position. Hybrid working options are available however it is essential that the successful applicant maintains an active presence at our Doncaster headquarters.
