The Mental Health and Wellbeing Commission (MHWC) is a core feature Victoria’s mental health and wellbeing system. The MHWC is an independent body to monitor and report on the performance, quality and safety of the mental health and wellbeing system; hold government to account with the ability to initiate its own inquiries into matters that support its objectives; handle and investigate complaints about mental health and wellbeing service delivery; and exemplify and enable lived experience leadership. POSITION SUMMARY:
The Executive Assistant has two key areas of responsibility of equal importance: providing executive support for three (3) Mental Health & Wellbeing Commissioners, including confidential secretarial and administrative assistance, and provide support to the Commission to deliver its objectives.
The position is a pivotal point of contact for key stakeholders from a diverse range of organisations from government, private, public and community services sectors.

Accountabilities
4. Provide executive support functions to three (3) Commissioners, including diary management, routine day to day IT support, budget tracking, travel and accommodation arrangements, prioritisation of meetings, agenda preparation, presentations, incoming and outgoing correspondence and responses, briefing material and validating the quality of written correspondence and other support tasks as required.
5. Provide executive support to the three (3) Commissioners at various internal and external meetings, including coordination, scheduling, agenda and acting as minute secretary and facilitating follow-up actions as required
6. Work closely with other Executive Assistants to coordinate all support activities to ensure the smooth running of the Commission, including reviewing operating practices and procedures to determine continuous within Executive Services
7. Produce high quality documentation including briefings in line with agreed templates and systems, prepare and review briefs, letters, emails and reports using clear, concise and grammatically correct language.
8. Supporting the administrative needs of the Commission more braodly and ensuring all relevant deadlines relating to the three (3) Commissioners are met.
9. Develop and maintain strong, positive and professional relationships with key stakeholders, identifying trends and escalating emerging issues, having regard for political, environmental and stakeholder sensitivities
10. Maintain a strong awareness of the Commissioners objectives, organisational and environmental sensitivities, the interrelationships of stakeholders and integrated nature of program and service delivery activities, identifying and appropriately referring issues
11. Undertake procurement processes, systems, policies and procedures within a government framework and understanding of public sector accountability
12. Respond to queries and information requests, provide high-quality and timely information and authoritative advice, and take follow up action as required. This includes operating confidentially, with discretion and with a high level of integrity and autonomy
13. Keep accurate and complete records of your work activities in accordance with legislative requirements and the Commissions/department's records, information security and privacy policies and requirements.
14. Take reasonable care for your own health and safety and for that of others in the workplace by working in accordance with legislative requirements and the Commission/department's occupational health and safety (OHS) policies and procedures.
