A great opportunity is now available for an experienced Personal Assistant to support the Operations Director of Surgery & Operations Manager Planned Surgery / SMD Anaesthesia and Perioperative Medicine
This is a Full Time, on-going position based at Dandenong Hospital.
About the Role
In this full-time, permanent role based at Dandenong Hospital, you will provide high-level administrative and organisational support to the Operations Director and Director of Nursing for Surgery and Anaesthesia & Operations Manager Planned Surgery.
You will work closely with both leaders to coordinate day-to-day operations, assist with managing priorities across surgical and perioperative services, prepare documentation and reports, and support communication between internal and external stakeholders.
The Personal Assistant plays an integral role in managing the service and ensuring its smooth and efficient day-to-day operation while also contributing to efficient, patient-centred service delivery.
Responsibilities may include:
* Preparing executive level presentations, reports and documents.
* Coordination of feedback and responses.
* Extensive Diary Management
* Coordinating meetings including venue bookings, preparing agendas and minutes.
* Drafting communications, completion of projects and maintaining data as required
* Providing efficient and effective administrative support and office management.
About You
You are an experienced PA who demonstrates a flexible, can-do attitude and strong organisational, communication, and time management skills. Your proactive approach and ability to 'think on your feet' when responding to changing demands will serve you well in a dynamic environment.
You will also demonstrate:
* Previous experience working as an Executive, Personal or administrative assistant at Executive level
* Extensive administrative experience in a healthcare setting is highly desirable but similar experience in other industries will be considered.
* Advanced knowledge in computer software applications (Outlook, Word, Excel, PowerPoint)
* Excellent customer service skills and a high standard of both written and verbal communication skills
* The ability to use initiative and perform tasks independently and be able to work effectively and harmoniously as part of a team.
* Good organisational skills and be comfortable prioritising and meeting multiple demands.
* Excellent interpersonal and communication skills
* Good working knowledge of hospital administrative processes and hospital systems (KRONOS, iProc, BEIMS, Riskman, Mercury E-recruit, LanPage, iPM) is desirable
