We are seeking an experienced and passionate individual to take on this newly designed multi-functional role of Administration Manager with responsibilities across executive support, admin and office management. Primarily reporting to the CEO this role is based at our Australian Headquarter in Croydon South.

In Oceania AFL employs over 160 people. We have offices in each major capital city of Australia and in Auckland, NZ; and operate two optical fibre manufacturing facilities in Victoria. We provide fibre optic solutions to the Service Provider, Hyperscale, Energy Utility, Enterprise and Industrial markets.
About the Role
As Administration Manager, you'll support the Executive Leadership Team, especially the CEO, by coordinating key tasks and priorities. You'll oversee office and facilities management, assist in planning business and cultural events, and lead community engagement projects. This is a great opportunity for a highly organised professional to bring energy and ideas to a new role and truly make it their own.
Key Responsibilities
* Provide confidential executive support to the CEO, managing diaries, communications, and travel
* Assist with preparation of reports, correspondence, and high-level presentations
* Coordinate meetings across local and international time zones, including with US-based stakeholders
* Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and professional communication
* Coordinate and make travel and logistics arrangements for the executive leadership team and visiting business delegates
* Assist in the planning of business events including conferences, roadshows, and off-sites
* Lead programs such as community engagement and social/cultural events
* Manage office infrastructure, supplies, and maintenance
* Proactively identify initiatives for continuous improvement
* Ensure a safe, efficient, and professional work environment
Key Requirements
* Qualification in Business Administration or a related discipline
* Demonstrated experience in executive support, administration, office, and facilities management
* Proven track record of working closely with C-level executives and senior leadership
* Experience within organisations affiliated with or owned by international parent companies (especially US-based) is highly desirable
* Demonstrated ability to uphold strict confidentiality, with exceptional attention to detail, accuracy, and diligence
* Proven experience with strong people / interpersonal skills to foster and maintain highly engaging stakeholder relationships
* Proactive approach with a demonstrated ability to anticipate needs and provide efficient, solutions-focused support
* Demonstrated experience planning and organising logistics for various business events
* Experience managing and/or leading organisation wide programs desirable
* Strong written and verbal communication skills with the ability to articulate information effectively to audiences at various levels
* Proven ability to accurately prioritise and deliver timely outcomes in a fast-paced environment
* Superior organisation, time management, and multitasking capabilities
* Self-motivated with a high level of professionalism and the ability to manage composure
* Proficient in Microsoft Office and various business management systems
* A current driver's license and is open to travel locally as required
* Unrestricted full time work rights in Australia
