The ROLE: Administration Manager
As the Administration Manager, you will play a key role in supporting two Partners, one from the Business Management team and one from the Tax team, by overseeing and executing the administrative workflows that underpin their client portfolios. Your primary responsibility will be to ensure the efficient, professional, and consistent delivery of administrative support to both Partners and their teams.
With a growing client base, this role also offers the opportunity to lead and manage a small administrative team, driving high-quality service delivery across all core functions.
The GIG:
Practice & Client Management
* Oversee client onboarding and engagement processes across both Business Management and Tax
* Maintain accurate client records and support communications.
* Lead a small team of administrators, ensuring efficient daily operations.
* Collaborate with administrative teams across other state offices to maintain national consistency and service quality.
* Ensure the smooth day-to-day operations of the Moorabbin office.
* Handle all incoming and outgoing mail—both physical and digital (via ATOmate and TAP).
* Manage billing processes, monitor accounts receivable, and follow up on outstanding payments to maintain strong cash flow.
* Prepare and coordinate the electronic signing of document packs for clients.
* Provide additional administrative support as required by the Partners or wider team.
Tax Agent Portal (TAP) Management
* Manage all activities within the Tax Agent Portal, including:
* Adding and removing clients.
* Lodgement reports and extension requests.
* Payment plans and other related tasks.
ASIC Administration
* Support ASIC-related compliance tasks as required by the Partners.
About YOU:
* Proven experience in a practice management or similar role, preferably within an accounting or professional services firm.
* Strong knowledge of accounting firm processes and client service best practices.
* Proficiency with accounting firm software (e.g. FYI, XPM, Xero) and office applications (e.g., Microsoft Office, Xero, ATOMate, NowInfinity, FuseSign).
* Experience working with FYI is preferred.
* Excellent stakeholder management, communication, and organisational skills.
* Ability to manage multiple priorities, meet deadlines, and lead a team to success.
* Passion for process improvement. Good attention to detail
