This is an on-site Medical Office Secretary role based in Melbourne, VIC. The Medical Office Secretary will manage daily reception duties, including greeting patients, answering phone and email inquiries, and providing clear information about appointments and clinic processes. The role includes scheduling and confirming patient appointments, coordinating referrals, managing waiting lists, and ensuring accurate patient records in the practice management system. The Medical Office Secretary will handle clerical tasks such as filing, data entry, scanning, correspondence, and processing payments and Medicare/private health claims. The position also supports clinicians with administrative needs, helps maintain a tidy and safe reception area, and ensures a respectful, confidential, and patient-focused experience for all visitors.
Qualifications
* Strong appointment management skills, including experience with appointment scheduling and follow-up.
* Proficient clerical skills, including filing, data entry, record management, and handling correspondence.
* Knowledge of medical terminology and experience in a medical office or healthcare reception environment.
* excellent gentu software experience and specialist rooms experience is a must
* Accurate typing and keyboard skills, with the ability to use practice management and electronic medical record systems.
* Excellent interpersonal and communication skills, with a professional and empathetic approach to patients and families.
* High attention to detail, strong organizational skills, and the ability to manage multiple tasks in a busy clinical setting.
* Commitment to patient confidentiality, cultural sensitivity, and inclusive, non-discriminatory service.
* Previous experience in a specialist or general practice setting and familiarity with Medicare/private billing are essential.
* Relevant certificate or training in medical administration, health services, or office administration is an advantage.
