About the Role
We are seeking a highly organised and motivated Executive Assistant to Project Manager to join our growing team in Melbourne.
This is a diverse and fast-paced role supporting our Project Managers within the insurance building sector. The position requires strong organisational skills, excellent communication and the ability to manage multiple priorities in a supportive team environment.
You will play a key role in assisting project delivery, supporting administration processes and ensuring smooth communication with clients and internal teams.
Key Responsibilities
* Assist Project Managers with preparation of reports, invoices and quotations
* Handle and respond to incoming calls and emails
* Assist with job management, including scheduling and follow-up of trades
* Provide regular job updates and progress reports to clients
* Maintain entries and updates in client portals
* Update and administer the job management system (SAP)
* Provide general administrative support to Project Managers
* Support reception duties when requiredAssist the team in meeting internal and client KPIs
* Follow company OHS and quality policies
* Undertake other administrative and operational tasks as required
Skills & Experience
* Strong organisational and multi-tasking abilities
* Excellent communication and customer service skills
* High level of computer literacy
* Ability to work independently and manage competing priorities
* Strong attention to detail
* Experience with SAP or similar databases (preferred)
* Previous experience in the building or construction industry (desirable)
Qualifications
VCE/HSC or equivalent
