Position Overview
Our client is seeking a highly organized and proactive Executive Assistant / Paralegal to support a professional who serves in three roles: a lawyer in a solo practice with a broad legal portfolio, the CEO of a small corporation, and the Chair of a corporate board of directors.
This role requires a detail-oriented individual who can manage legal administrative tasks, assist with client and corporate matters, and provide executive support across multiple professional responsibilities. The position is primarily remote, with periodic in-person meetings required.
Key Responsibilities
Executive Support
* Manage the executive's calendar, including scheduling legal deadlines, meetings, appointments, and personal commitments.
* Coordinate and attend meetings when required, taking notes and tracking follow-up actions.
* Assist with day-to-day administrative management of the executive's professional responsibilities.
* Monitor and follow relevant provincial and federal news and provide updates when appropriate.
Legal and Practice Administration
* Handle general administration and management of the legal practice.
* Manage client intake, respond to client inquiries, and maintain client records.
* Prepare court documents, legal correspondence, and filings using established precedents and templates.
* Assist with corporate filings and regulatory documentation.
* Support the lawyer in ensuring that clients remain compliant with applicable government requirements.
Financial and Data Management
* Manage monthly invoicing and billing processes.
* Maintain and update Excel spreadsheets and internal databases, ensuring accuracy and organization of data.
Communications and Marketing
* Draft marketing email communications.
* Manage and maintain social media accounts, including preparing and posting content as required.
Administrative Support
* Answer and manage phone calls and emails.
* Monitor and check the office mailbox regularly.
* Perform other administrative and project-based assignments as needed.
Qualifications
* Experience as a legal assistant, paralegal, or executive assistant, preferably in a legal environment.
* Strong organizational and time-management skills with the ability to manage multiple priorities.
* Experience preparing legal documents and correspondence using templates or precedents.
* Proficiency in Microsoft Office, particularly Excel.
* Excellent written and verbal communication skills.
* Ability to work independently in a remote environment while maintaining consistent communication.
* High level of discretion and professionalism when handling confidential information.
Work Structure
* Remote position, with in-person meetings required approximately once per week or every two weeks.
* Flexible and dynamic workload supporting legal, corporate, and executive responsibilities.
Salary Range: $80,000 – $110,000
