Executive Assistant – University of Melbourne
Position: Executive Assistant supporting Professors Ingrid Scheffer and Piero Perucca, leading figures in epilepsy research. Role located in the Department of Medicine, Austin Health, University of Melbourne. Fixed term until Dec 2026, 0.8/1 FTE.
Pay and Employment Type
Base pay range: A$86,943.00/yr – A$99,864.00/yr. Salary level 5 $86,943 – $99,864 p.a. (pro rata) plus 17% super. Employment type: Fixed term.
Responsibilities
- Coordinate clinical and research activities: manage appointments, patient queries, and project schedules, ensuring efficient clinic operations.
- Provide comprehensive support: arrange meetings, seminars, conferences; manage project documentation and expense reporting.
- Facilitate communication: liaise with senior academics, hospital executives, stakeholders; prepare correspondence and monitor meeting actions.
- Manage travel arrangements: coordinate travel for Professors and senior team members, develop schedules and briefing materials.
Qualifications and Experience
- Experienced administrative qualified with excellent organisational and communication skills, capable of supporting senior executives in a dynamic research environment.
- Tertiary degree or extensive experience in an administrative field.
- Experience working with senior executives and handling sensitive information.
- Excellent interpersonal skills; ability to communicate effectively with diverse stakeholders.
- Strong organisational skills; able to manage multiple tasks and tight deadlines.
- Proficient in Microsoft Office; familiarity with database programs.
- Experience coordinating medical clinics and managing patient billing.
- High level of self‑motivation, resilience, and commitment to client‑focused service.
