Holy Trinity Parish is seeking an organised and detail-focused Administration Officer to support the sacramental, liturgical and administrative life of our three worship communities.
This key role provides comprehensive administrative support across sacramental and marriage records, funeral coordination, Mass intentions, memorial administration and hall hire. The position also manages weekend Mass logistics and communications, produces parish materials, maintains volunteer and priest rosters, and ensures accurate database and records management (PACEM).
Working closely with the Parish Priest, Pastoral Coordinator and parish team, the role partners closely with the other Parish Administrator, with a dedicated Wednesday crossover and handover to ensure continuity across the week.
Key Accountabilities
* Serve as the first point of contact for the parish, managing reception, enquiries and communications.
* Coordinate weekend Mass logistics and communications across three worship sites, including priest liaison, materials preparation and distribution of information.
* Maintain accurate marriage, sacramental, funeral and Mass intention records (PACEM and related registers), including scheduling, documentation and certificate preparation.
* Provide administrative support for funerals, memorials and interments, including file creation, invoicing and coordination with families and suppliers.
* Manage hall hire bookings and support parish events and communications.
* Maintain parish databases, filing systems and archiving processes to ensure compliance and accuracy.
* Support volunteer coordination and broader parish administration as required.
* Contribute to facilities oversight and office operations, including security, supplies and weekly operational tasks.
* Collaborate closely with the Parish team, including a dedicated Wednesday handover with the other Parish Administrator to ensure continuity of service.
