Personal Assistant to the Head of Senior School

This full-time role is ideal for an organised, personable and proactive administrator who thrives in a fast-paced educational environment. You will play a key part in ensuring the smooth and efficient operation of the Senior School, working closely with leadership, staff, students, and families.
Key Responsibilities
* Manage the Head of Senior School's calendar, workflow, and daily priorities
* Facilitate communication and access for staff, students, and parents
* Provide hospitality and administrative assistance as required
* Uphold school policies, procedures, and expectations
* Draft, manage and respond to communications on behalf of the Head of Senior School
* Maintain accurate Senior School information on school platforms
* Prepare circulars, letters, and updates for staff and families
* Assist with management of the school calendar including Senior School activities
* Organise and support Senior School events, assemblies, ceremonies and award nights
* Coordinate venues, travel, catering, gifts, resources and presentations
* Work collaboratively with Events, Operations and Engagement teams
* Support risk management processes and Consent2Go documentation
* Organise meetings for student support, staff collaboration and senior leadership
* Prepare agendas, documentation, minutes and reports
* Create and manage lists, schedules and records as required
* Assist in monitoring Senior School reporting timelines
* Manage student awards, certificates, badges, prizes and welcome materials
* Build strong, positive relationships with students, parents, staff and community members
* Handle confidential matters with discretion and professionalism
* Support school compliance, child safety and risk processes
* Maintain records for the Child Safety Register
* Ensure inclusivity for students from all backgrounds and needs
Reception & First Aid Support (as required)
* Assist with phone reception, visitor management and student attendance
* Provide support in the Health Centre when needed
About the Personal Assistant role
* Strong organisational and time-management skills
* Excellent written and verbal communication
* High-level Microsoft Office proficiency
* Experience with school systems (Synergetic, Consent2Go, PTO, TryBooking) highly desirable
* A calm, friendly, and approachable manner
* Ability to handle sensitive information with the highest discretion
* A genuine alignment with the school's values and commitment to child safety
Qualifications & Checks
* Valid Working with Children Check
* Level 2 First Aid, CPR, anaphylaxis and asthma management training (or willingness to obtain)
* National Criminal History Check (upon appointment)
