**JOB DESCRIPTION**
**About the Role**
This role is responsible for ensuring that high quality administrative and business support is provided to the Executive General Manager - Network Operations Centre ('NOC'), the Executive general Manager - Health & Safety, and their wider leadership teams as directed. This position requires skills in building positive working relationships with all stakeholders, managing changing agendas, operating at a fast pace, dealing with conflicting demands and working collaboratively with others. Tact and diplomacy are critical along with attention to detail and a customer/team focused, positive attitude.
**Primary Duties & Responsibilities**:
- Coordinate meetings, arrange room bookings, catering requirements etc.,
- Ensure briefing documents, agendas and minutes are available ahead of meetings.
- Attend meetings, produce minutes and ensure actions are followed up in a timely manner.
- Prepare reports, presentations and other documentation as required by the Executive General Manager.
- Arrange and manage signing of key documents per Delegation of Authority.
- Develop and maintain an effective and secure filing systems for storage and prompt retrieval of information.
- Manage incoming communications. Interpret requirements and distribute information to the team as appropriate.
- Deal effectively and efficiently with incoming calls and provide appropriate responses in the absence of the Executive General Manager.
- Organise travel, expense returns and other business requirements for the Executive General Manager, ensuring that all arrangements are handled in accordance with company policy.
- Provide administrative support to the Executive General Manager and their direct reports as required.
- Co-ordinate onboarding of direct reports to Executive General Manager ensuring appropriate well-planned inductions.
- Manage purchasing requirements - office supplies etc.
- Organise corporate functions, events and other activities as required.
- Comply with all company policies and procedures.

- Tertiary qualifications in Business (preferred)
- Previous experience in a similar role
- Drivers Licence
- Minimum Tertiary qualifications (Diploma in Work, Health and Safety) or higher.
- Ability to build and maintain relationships with key stakeholders
- Excellent verbal and written communication skills
- Strong time management and organisational skills
- Attention to detail
- Ability to maintain confidentiality and exercise diplomacy
- Proactive and self-motivated
- Current Australian Drivers Licence.
