About the Role
Atmos Renewables is seeking an experienced Document Controller to join their Delivery team in Melbourne.
This client-side role will play a key part in managing project documentation across the delivery lifecycle of utility-scale renewable energy projects.
The Documentation Controller will be responsible for the full lifecycle management of project documentation, including ECI (Early Contractor Involvement), EPC, BoP, Free Issue Supply, NSP, and Owner's Engineer scopes.
This role requires a deep understanding of the documentation requirements for each of these scopes across the various renewable technologies and the ability to ensure accuracy, compliance, and accessibility throughout the project lifecycle.
The role will support multiple renewable energy projects simultaneously, with a focus on BESS and onshore wind, ensuring that documentation is well-structured, up to date, and aligned with project schedules and contractual obligations.
Additionally, the Documentation Controller will be required to set up a Document Management System (DMS) for each project, write Document Management Plan(s), and work closely with project teams to streamline document workflows, implement best practices, and maintain a high standard of information management.
This role contributes directly to project efficiency, risk mitigation, and the successful delivery of renewable energy projects.
Key Responsibilities
Manage the full lifecycle of project documentation, including creation, review, approval, distribution, and archiving.
Maintain accurate and up-to-date records of ECI, EPC, BoP, Free Issue Supply, NSP agreements, Owner's Engineer agreements, and CIS agreements.
Ensure proper control, filing, and accessibility of all project documentation.
Implement and maintain document control systems and databases.
Draft and maintain a streamlined Document Management Plan based on best practice.
Support multiple renewable energy projects simultaneously, ensuring documentation aligns with project schedules and contractual obligations.
Provide documentation-related guidance to project teams, ensuring compliance with client and regulatory requirements.
Track and report on the status of documentation submissions, approvals, and deliverables.
Ensure all documents comply with contractual, regulatory, and company standards.
Conduct periodic audits to verify completeness, accuracy, and consistency of project records.
Identify gaps or risks in documentation and recommend corrective actions.
Liaise with internal teams, contractors, and external stakeholders to facilitate smooth document flow.
Communicate clearly and concisely to ensure understanding of documentation requirements and deadlines.
Support the resolution of document-related queries in a timely and professional manner.
Develop and implement best practices for document management tailored to renewable energy projects.
Continuously evaluate document control processes for efficiency and effectiveness, with a focus on simplicity and streamlining.
Assist in training project personnel on document management standards and tools.
Skills & Experience
Strong knowledge of document management principles, including version control, filing, archiving, and audit practices.
Proficiency with document management systems (e.g., Aconex, InEight / TeamBinder, Procore, SharePoint, or similar).
High level attention to detail and accuracy, with the ability to maintain high-quality documentation under tight deadlines.
Strong organisational and time-management skills, able to manage multiple projects simultaneously.
Effective communication skills, able to convey information clearly, concisely, and professionally to stakeholders.
Ability to work independently and as part of a multidisciplinary team.
Problem-solving skills and a proactive approach to identifying and addressing document-related issues.
Knowledge of industry standards and contractual requirements in renewable energy projects.
Proven experience as a Document Controller on client-side projects in renewable energy (BESS, Wind, Solar).
Hands-on experience managing EPC, BoP, supply contracts, and other project-related agreements.
Experience supporting multiple projects simultaneously with complex documentation requirements.
Familiarity with project lifecycle documentation requirements, including regulatory compliance, technical specifications, and contractual obligations.
Experience liaising with internal teams, contractors, and external stakeholders to manage document workflows.
Experience implementing document control procedures and process improvements in a project environment.

You will be eligible to earn a short-term incentive of up to 20% of your Salary with respect to each complete calendar year during your employment, subject to the achievement of company and personal performance hurdles (STI).
Performance hurdles with respect to each calendar year and the weighting to be given to such hurdles will be determined by Atmos Renewables and advised to you.
Whether or not such hurdles are met and the extent to which such hurdles are met will be determined by Atmos Renewables exercising their sole discretion.
