Macrofab is seeking a highly organised and proactive Executive Assistant with practical construction knowledge to support leadership and the day to day running of the business. This is not a traditional EA role - it's hands on, operationally focused, and embedded in the construction/fabrication environment.
You will play a pivotal role in keeping projects, finances, and operations running smoothly while providing executive support to the founder.
What You'll Do
* Act as a trusted point of contact between leadership, site teams, and external stakeholders
* Proactively follow up on approvals, outstanding tasks, and critical deadlines
Executive & Operational Support
* Manage leadership calendars, appointments, and site visit schedules
* Prepare agendas, take minutes, and track follow ups on action items
* Handle email and correspondence with clients, suppliers, and subcontractors
* Coordinate travel and site visits, including planning for material deliveries or inspections
Administration
* Track project timelines, milestones, and job progress, ensuring accurate reporting.
* Liaise with site teams, suppliers, and contractors; manage purchase orders, work orders, and project documentation.
* Assist with payroll, timesheets, HR administration, and apprentice management with awareness of construction roles.

Skills & Experience Preferred experience
* Executive support or assistant experience in construction, fabrication, or manufacturing
* Understanding of construction workflows, safety requirements, and project documentation
* Exposure to Xero or similar accounting systems, project/job management software
* Exceptional organisation and time management
* High attention to detail with a focus on operational and construction accuracy
* Ability to prioritise competing tasks in a fast paced environment
* Strong written and verbal communication
* Professional discretion and proactive problem solving mindset
