Customer Service & Racing Administrative Assistant (Casual)
This role provides administrative assistance to HRV’s racing programming, handicapping and field selection for Victorian harness race meetings in accordance with the Australian Harness Racing Rules (AHRR) and the Australian Harness Racing Ratings Based Handicapping System (RHBS) and Guidelines. As well as completing required tasks for the Customer Service Team including stakes payments, customer invoicing and receipting of payments, licensing, registrations and or reception duties.

KEY POSITION CAPABILITIES
Customer Service
- Undertake relief reception duties and coverage as required. This could include:
- Act as the first point of contact for visitors and employees of HRV.
- Monitor the switchboard, answer queries and direct calls.
- Coordinate inward and outward mail, couriers and schedule other office services as required.
- Assist with general filing, scanning, mail outs and other general administration
- Completing required tasks regarding stakes payments, customer invoicing and receipting of payments, futurities, licensing, registrations and or reception in a timely manner.
- Advocate industry products, services and promotions to industry participants and the general public.
Racing Operations
- Processing of morning Scratchings and driver changes for race meetings.
- Processing of Stall allocations for race meetings/trials
- Compile race fields at acceptance time for race meeting applying Automatic Field Selection Points System (AFSPS) and relevant racing guidelines.
- Sending fields, ownerships files and stalls to Race clubs and betting agencies
- Compile and send Racebooks to Race clubs
- SMS Owners of horse engagement in upcoming race being accepted in.
- Process Meeting Summary sheets and accept previously processed race results updating horse data and triggering automated stake money deposits ensuring daily deadlines are met.
- Run checks and measures on trial meetings and dispatch data to clubs.
- Process in an accurate and timely manner:
- programming information for both races and qualifying trials,
- qualifying trial results, horse bar records, vet’s certificates, claiming forms,
- Registration and racing details and assess all horses imported from overseas,
- race results when required.
- Proactively provide high quality, inclusive, responsive customer service, foster and develop cooperative relationships and work effectively with internal and external stakeholders.
QUALIFICATIONS AND EXPERIENCE
- High School completion certificate required (tertiary qualification in a business-related field preferred)
- Evidence of experience in and or knowledge and understanding of racing, harness racing and form in sport, handicapping, racing, programming, sports administration, competition management and or related qualifications.
SKILLS AND ATTRIBUTES
- Proven ability to understand, interpret and apply rules and regulations including the Australian Harness Racing Rules (AHRR), Ratings Based Handicapping System (RHBS) and Guidelines.
- Proven engagement and relationship building skills and the ability to represent the organisation in this position.
- Evidence of sound consultation, communication and interpersonal skills, with a demonstrated capacity to work collaboratively with others, negotiate and advocate.
- Proven ability to participate collaboratively within teams, as well as initiative and effective personal judgement when working alone.
- Demonstrated analytical data skills, the ability to reason from the data, identify patterns, trends and options and offer practical solutions.
- Evidence of solutions focus and innovative thinking, ability to assess options and identify solutions and provide advice.
- Demonstrated competence with the Microsoft Office suite of products, databases and a willingness to embrace new technologies.
- Demonstrated understanding of and commitment to the embedding of Harness Racing in Victoria values, mission and vision
