About the TeamThe teams across Strategy & Finance provide a wide range of services that guide and empower our business - from risk to treasury, investor relations, taxation, corporate accounting, internal audit and more.
We help ensure Telstra sets the right strategy and is delivering for our customers, our people, and our shareholders.About the RoleAs an Executive Assistant, you play an important role in providing professional, responsive and confidential support to assigned Executives and their broader teams, enabling them to focus on their key priorities and better serve value-adding internal and external customer needs.
You thrive on adding great value for Telstra by ensuring timely and effective alignment of your Executives' schedule to strategic and business priorities and presenting as a brand ambassador internally and externally.You will support two executives – Group Treasurer & COE – Corporate Finance – with extensive diary management, including meetings involving many senior internal and external stakeholders.
You will provide vital support to the corporate treasurer by monitoring approvals, supervising email and arranging travel.
Proven ability to work effectively within a team, multitask and meet designated timeframes.ResponsibilitiesProvide consistent, confidential and comprehensive executive support as required to your assigned Executives in the coordination of diary and schedule management, including attending relevant meetings and actioning related tasks.Collaborate with members of the Executives' broader teams and external stakeholders to provide support in aspects of event management (including team offsites), travel arrangements and accommodation for your assigned Executives and their teams, ensuring alignment with Telstra's policies and procedures.Assist with expense claims and leave requests, ensuring they are processed in a timely manner and in accordance with Telstra's policies and procedures.Support various initiatives that improve the function of the team and knowledge sharing, and proactively generate ideas that create process improvements (e.g., central shared file system, calendar of leave and training requirements).
Support the Executives' continuous improvement and learning focus, matching their energy and dedication.Use sound judgement to professionally handle inbound calls, e-mails and other correspondence, ensuring they are reviewed, actioned and filed promptly.Participate in continuous improvement initiatives such as streamlining processes, eliminating unnecessary steps and employing the best available technology to enhance efficiency.Collaborate with the Executives' team to seek input to solve arising problems, redirect urgent issues and complaints to the appropriate individuals, keeping relevant stakeholders and Executives informed.Maintain accurate and up-to-date files and documents for quick retrieval of essential information.Leverage interpersonal skills and office administration knowledge to guide Business Unit members in delivering ad hoc tasks in line with Agile and Telstra Ways of Working.Explore alternative solutions that gain support and acceptance of all parties and maximize benefits to the organisation.QualificationsRelevant work experience preferably in finance but not necessary.Strong organisational skills and ability to multi-task.Excellent time-management skills.Knowledge of MS Office Suite and Workday.Highly adaptable and flexible.Energy and proactive "can-do" attitude.Strong interpersonal skills and ability to build relationships with key stakeholders.Preferred knowledge in Sapphire and Fieldglass.Experience scheduling yearly performance reviews.Expense reconciliation using Concur.Managing and organising team offsites and workshops.Managing M&A Management committee papers.Additional InformationAs part of your application with Telstra, you may receive communications from us on *************** (for job applications in Australia) and ***************** (for job applications in the Philippines and India).
