The Role We are seeking an Executive Assistant to support our Banking and Finance team in Melbourne. You will work closely with our partners and fee earners, providing high-quality legal and administrative support to ensure the smooth and efficient running of both practices. This is ideally a full-time, office-based role in our Melbourne office, where you will be a key contributor to team operations and client service. We are open to discussing flexible options. We are also open to part time Student job share. It will allow you to utilise your strong interpersonal and communication skills, as well as your excellent organisational and administrative abilities, while playing an integral role in our continued growth and success. We are looking for someone who is enthusiastic, proactive, hard-working and brings a positive, can-do attitude to the team. Responsibilities Provide comprehensive administrative and legal support to a small team of Banking and Finance Partners Manage complex calendars and email correspondence, scheduling internal and external meetings and coordinating travel arrangements Client liaison and communication Billing and expense management Conducting searches Maintain client and matter records, documents and databases Ad hoc administrative duties including printing, scanning and photocopying We’re looking for someone: Ideally with 2 years plus administrative experience within the legal industry, or otherwise administrative experience in a professional environment With strong attention to detail and the ability to efficiently manage multiple stakeholders and priorities Intermediate Microsoft Office Suite, billing and document management system skills Who is an effective communicator and excellent organisational abilities Who is confident and self-motivated A proficient problem solver, adept at identifying and resolving challenges A commitment to providing a high level of administrative support to the team Positive, collaborative and able to work effectively as part of a team.
