The opportunity
We're looking for a well-organised and detail-oriented Legal Assistant to join our General Liability team in Melbourne. You'll provide essential support to two of our Partners, ensuring the smooth running of their litigious practice.
Legal Administrators at WK
We do things differently here. Our Legal Administrative Assistants are valued members of the team, playing an integral role in practice management. You’ll have the opportunity to take ownership of key processes, manage your Partner’s practice, and delegate tasks to paralegals to ensure smooth workflow. With a flexible working model (2-3 days in the office, the rest from home), you’ll enjoy a balance of autonomy and collaboration while being actively involved in the team’s success. You’ll be included in meetings, firm events, and key initiatives, ensuring you feel connected and valued every step of the way.
What You'll Do
* Regularly check the partner’s inbox, flag urgent items, and manage routine correspondence and follow-ups.
* Prepare and update client reports, ensuring accuracy and timely delivery of case updates and financial information.
* Track billed figures, work in progress, disbursements, and invoice payments using Aderant to maintain accurate financial records.
* Communicate with credit control to monitor and follow up on overdue payments, helping resolve outstanding debts.
* Gather and organise documents required for letters of instruction to ensure completeness before sending.
* Coordinate trial logistics, including counsel availability, preparing briefs, and compiling court books.
* Schedule IME appointments by confirming doctor availability and coordinating with relevant parties.
* Conduct property and company searches to gather relevant case information.
* Proactively support the partner by anticipating needs, ensuring tasks are completed efficiently, and identifying opportunities to improve processes.
What you bring:
* 4+ years of experience as a Legal Assistant or similar role with some experience in litigation
* Excellent organisation and time management skills.
* Proficiency in Microsoft Office (Word, Excel, Outlook). Legal software experience a plus.
* Strong communication and teamwork abilities.
* A problem-solving attitude and a keen eye for detail.
* This role is not suitable for law students or law graduates.
