**THE ROLE**
Reporting to the Executive Assistant - EGM People & Culture and based in Melbourne, the role is accountable for a broad range of business support and administrative duties which advance and reinforce People & Culture's and Origin's key strategic, cultural and leadership objectives.
- As an organisational pro, anticipate and manage GMs schedules, travel, meetings, and events, training requirements, ensuring the GMs time is spent on key priorities and with key stakeholders, and that the GMs are well prepared and briefed beforehand.
- Coordinate meeting agendas, papers and logistics.
- Coordinate team special events, conferences and team building events, including those held via Microsoft Teams Events and Workplace by Facebook.
- Manage conflicting priorities and deadlines in an adaptable, helpful, courteous, and informed way. Follow through on matters to successful completion.
- Continuously build knowledge and understanding of Leadership team business priorities to create a balance between delivering outcomes, business and team objectives and professional growth, whilst maintaining a continues focus on confidentiality, professionalism, and friendliness.
- Assist with GMs internal and external communication channels and social media presence.
- Champion engagement with the People & Culture team whenever possible by being informed about Origin's communications, events, systems, policies and directives.
- Being a helpful, trustworthy and friendly member of our team, with a seat at our table. You will be a central part of our team and we look forward to having your contribution to our team's performance and culture.
- On behalf of the People & Culture team, independently manage administrative responsibilities such as Health, Safety and Environment (OCIS) notifications and actions, financial projects and expense reconciliation and approval, people and culture related processes, IT related tasks, Origin systems notifications and approvals.
- Receive and manage to conclusion customer enquiries addressed to the GMs.
- Assist with preparation of meeting/board papers and presentations.
- Prepare ad-hoc reports - gathering, summarising and analysing data.
- Maintain efficient filing, recording and retrieval information systems.
**IS THIS YOU?**
To be considered for this opportunity you will have or be able to demonstrate:
- Minimum 5 years' experience supporting a senior Manager in a medium to large corporate organization.
- Intermediate to advanced skills in Microsoft suite (Word, PowerPoint, Excel), including Microsoft Teams, One Drive and Sharepoint. Advanced technical social media platform skills (Workplace by Facebook and LinkedIn).
- Exceptional organisational, planning, co-ordination and time management skills with superior attention to detail, ability to manage competing demands.
- Highly developed secretarial skills and experience organising and maintaining a document management system including correspondence, files and records.
- Strong verbal and written communication skills.
- Confident, helpful, trustworthy team player who has a high degree of tact and diplomacy and a respect for confidentiality in all matters.
- Strong desire to help others.
- Positive, professional, pro-active and "can do" approach.
- React positively and flexibly when managing competing priorities and time constraints.
- Aspiration to continuously learn and adopt new technology, systems and processes, and share knowledge with others.
